The work done by us, here at Hedfan, was specifically with VINCI Facilities and VINCI Building Solutions, which sits within VINCI Facilities.
VINCI Facilities is a leading provider of nationwide Facilities Management services to the public and private sectors. Its solutions are commercially sound, customer-focused and provide clients with the information necessary to make strategic decisions about their estate.
VINCI Facilities Building Solutions is a trusted expert in conversion and refurbishment in the built environment. It works with its clients and stakeholders to achieve mutual success in everything it does. With a strong heritage in building, and supported by the world’s largest construction company, it aims to add value to its customers’ assets.
At the heart of all VINCI’s projects is a commitment to creating strong partnerships and delivering positive, lasting outcomes for clients, communities and stakeholders alike.
To achieve this, VINCI hosted a Supplier Engagement Workshop designed to surface frustrations, identify opportunities, and align everyone around common goals. While the agenda was developed internally by VINCI, Hedfan was invited to support the team, facilitate the session, and lead a reflective debrief with the organisers.

Our involvement
Naomi was lead facilitator on the day and supported the VINCI Facilitators throughout the preparation for the event. She worked closely with the VINCI team to help refine their approach, ensuring they felt confident leading open, productive discussions.
Naomi designed and delivered a series of targeted activities aimed at encouraging honest feedback, surfacing challenges, and uncovering new ideas. Following the event, she led a lessons-learned session with the VINCI organisers, capturing insights and reflections to inform future engagement. As part of her role, Naomi also provided all the necessary facilitation activity materials and produced a comprehensive Project Charter, clearly identifying and articulating how VINCI and its suppliers can commit to working together collaboratively and productively, outlining the workshop’s outcomes, agreed actions, and future commitments.
Workshop highlights
· Engaging discussions: Activities encouraged suppliers to share both positive feedback and honest frustrations. These open conversations revealed supplier capabilities, fresh ideas, and clear areas for improvement — all in a constructive environment.
· Valuable networking: The workshop created new connections and collaborations, not only benefitting HMP Exeter, but offering potential partnerships on future VINCI projects.
· Actionable outcomes: A series of concrete commitments were made by the VINCI team and suppliers alike, creating alignment and renewed purpose.

Outcomes and impact
The workshop delivered exactly what VINCI set out to achieve — it strengthened supplier relationships, encouraged honest dialogue, and created a collaborative platform to support the successful delivery of the HMP Exeter project.
The post-event reflective session with Naomi allowed the VINCI team to capture lessons learned, build on successes, and identify further opportunities for improvement in future engagements.
